Account cross-settlement, and refund or reversal request authorization

To authorize your account cross-settlement or request a refund, please complete one of the following forms in full, as applicable, using block letters or legible handwriting, and carefully follow the notes provided at the end of the form.

When the reservation is reconfirmed by a member of an employee fund, any request for changes, cancellations, refunds, reversals, or account cross-settlements must be made directly by the member. Likewise, if the reservation is reconfirmed through the employee fund, any request must be channeled directly by the fund. To do this, be sure to reference the external agency code under which the reservation was generated.



Account cross-settlement

● To process an account cross-settlement, the travel dates must be at least 8 days from the date the account settlement form is submitted via the Petitions, Complaints, and Requests channel.
● The cross-settlement request must be submitted using the official form provided at the end of this communication and signed by the invoice holder and/or the cardholder for non‑face‑to‑face payments. This document must be submitted through the Petitions, Complaints, and Requests option, and the response time is 6 calendar days.

Refunds

● Please note that all refunds are processed according to the original method of payment used at the time of purchase of the services.
○ Electronic transfer to the invoice holder’s bank account, when payment was made via transfer, check, debit card, bank deposit, or cash.
○ Manual reversal with the credit card issuer, when payment was made by credit card through any face‑to‑face or non‑face‑to‑face channel. This reversal will only be issued to the cardholder who made the reservation payment.
● For refunds involving bank transfers, you must attach the invoice holder’s bank account certification in addition to the refund form. If the customer requests that the transfer be made to a third party’s account, they must also attach the third party’s bank account certification.
● Refund requests must be submitted using the official form, signed by the invoice holder and/or the cardholder for credit card payments. The document must be submitted through the Petitions, Complaints, and Requests option.
● Refund or reversal requests are processed within 30 calendar days from the date of submission. If a refund is returned or rejected due to missing requirements, incomplete information, or incorrect completion of the form, the 30‑day processing time will restart from the date of resubmission.

Entry of minors to Decameron hotels in Colombia

At Decameron Hotels, the safety and well-being of all our guests is a top priority. Therefore, if your reservation includes minors who are not your first-degree relatives, understood as a parent-child relationship, you must review the following requirements to be allowed entry to the hotel: Claro, aquí tienes el texto enumerado para facilitar su lectura y seguimiento:



1. You must download and complete the following authorization form, as entry to the hotel will not be allowed without it.
2. This authorization must be issued jointly by both parents. If either the mother or the father granting the authorization is abroad, the authorization must be presented with the signatures and fingerprints of each parent.
3. If one of the parents is deceased, a death certificate must be presented. If both parents are deceased, the authorization must be signed, in accordance with the law, by the minor’s legal guardian or custodian.
4. If the whereabouts of both parents are unknown, or if they are unable to provide consent, or there is no legal representative, the authorization must be processed through the ICBF (Colombian Family Welfare Institute).
5. If the whereabouts of one parent are unknown, the parent in charge of the minor must attach an extrajudicial statement declaring that they do not know the whereabouts of the other parent.
6. If the parents live in different locations, the residence of each must be indicated, and the authorization form must be completed with signatures and fingerprints from both to allow for the validation process.
7. If those who have legal custody of the minor are not the biological parents, the authorization form for admission of minors must be signed and fingerprinted by the legal guardians, and an authenticated copy of the legal document certifying custody must be attached.
8. This authorization must be presented in original form, with signatures and fingerprints at the time of check-in to the hotel. It must be accompanied by the minor’s birth certificate and registration, and copies of the IDs of both the authorizing parties and the person authorized to stay with the child. If any of the required documentation listed here is incomplete at check-in, entry will NOT be allowed for the minor, and penalties applicable as of the travel date will be charged.
9. Only individuals of legal age may be authorized to stay with a minor.
10. Advance review and approval of all documentation by the booking agency is mandatory.
For Es-cool group reservations, documentation must be sent at least 15 days prior to check-in to our Group department and must be authenticated by both parents.
For individual reservations, documentation must be submitted at least 3 days prior to check-in to our Reconfirmation department.
11. This authorization does not replace the exit permit required by Colombian immigration authorities. Please verify the official requirements at ‎Migración Colombia

Admission of minors to Decameron hotels in the company of third parties

The following is the form that must be completed to authorize the entry of minors accompanied by third parties to Decameron Hotels.



● In the event of the death of both parents or if their whereabouts are unknown, the authorization must be signed, in accordance with the Law, by the legal representative or guardian of the minor.

● Along with this authorization, which must be presented at the time of hotel check-in in its original form and with signature recognition, the minor’s birth certificate and a copy of the ID of the person(s) issuing the authorization must be attached.

● If all the requirements indicated here are not met at the time of hotel check-in, the minor will NOT be allowed to enter and penalties applicable on the travel date will be charged.

● Only adults may be authorized.

● By signing this authorization, I declare that I am aware of the consequences of sexual exploitation and abuse established in the local laws of my country of origin and other regulations that modify or supplement them.

If the customer requests that the transfer be made to a third party’s account, they must also attach the third party’s bank account statement along with a notarized document authorizing payment of the reservation amount to the third party’s account, indicating the reservation code.
● Refund requests must be submitted using the official form, signed by the invoice holder and/or the cardholder for credit card payments. The document must be submitted through the Petitions, Complaints, and Requests option.
● Refund or reversal requests are processed within 30 calendar days from the date of submission. If a refund is returned or rejected due to missing requirements, incomplete information, or incorrect completion of the form, the 30‑day processing time will restart from the date of resubmission.

● To request a change, the designated line in El Salvador is 2209-3000; Guatemala 2411-9626; Honduras 800-7919191. (Requests will not be processed through sales representatives, agencies, or regional sales offices). Everything is centralized through this line or through the Petitions, Complaints, and Requests option.
● The response time for changes and/or cancellations is 48 business hours.
● To make changes, the following information is required:
○ Reservation number
○ New request (Change, Cancellation, Waiver)
○ Account Cross Settling, or Refund
● Our Changes Department will respond to your request, indicating any penalties, rate differences, and the confirmation deadline.
● Penalties will be charged according to the type of fare regulation and season.
● Penalties cannot be paid through IVR or a website.
● A hotel No-Show fee for the first night will be charged for reservations that are not canceled at least 72 hours prior to check-in, or within the minimum notice period established for the corresponding season.
● If the reservation is being modified and an account cross-settlement is requested, the reservation must be confirmed. The settlement will be processed upon receipt of an authorization letter from the customer or the travel agency. The response time for account cross-settlement requests is 4 business days. Once approved, the reservation can be reconfirmed and travel documents may be issued.
● When an addition is made to a reservation, a second settlement and invoice will be issued. This document does not specify a commissionable base settlement and/or tax settlement. Commission settlements will be made in accordance with the commercial agreements in effect.
● It is important to inform customers at the time of booking and voucher delivery of the following: “Sir or Madam, please note that any changes to and/or cancellations of your reservation will incur penalties and/or fare differences."
● Penalties and/or No-Show fees will only be waived in the event of force majeure (such as an accident and/or the death of the traveler or a first-degree relative). Customers must submit their documents and a new request, whether for a refund or account cross-settlement, within 15 calendar days from the original travel date. After this period, applicable penalties will be charged.
● All documentation required to process refunds must be submitted through the Petitions, Complaints, and Requests platform to initiate the process, which takes approximately 30 calendar days.

Documentation Required for Leaving the Country:

At Decameron Hotels, the safety and well-being of all our guests is a top priority. Therefore, if your reservation includes minors who are not your first-degree relatives (understood as a parent-child relationship), you must review the following requirements to be allowed entry to the hotel.

It is the sole responsibility of each traveler to have their documents in good standing. This includes passport, visas, and any other documents that may be required by the immigration authorities of each country, depending on the traveler's nationality. We recommend verifying visa requirements or entry conditions with the relevant authorities in your country of origin prior to traveling.




Documentation Required for Hotel Check-In:

If you have a reservation at one of our NATIONAL hotels, please download and complete the form attached at the end of this page.

Minors traveling alone, with a legal guardian, or with relatives who are NOT their parents must present the following documentation to the Front Desk Manager:

● Original notarized authorization signed by both parents, specifying:
○ Dates of stay
○ Name of the hotel
○ Full names and identification numbers of the minor's parents
○ Full name and identification number of the minor
○ Full name and identification number of the authorized accompanying adult
○ Copy of the minor’s birth certificate and identification documents of all parties listed above

If any of the required documentation listed here is incomplete at check-in, entry will NOT be allowed for the minor, and penalties applicable as of the travel date will be charged.

In accordance with Supreme Decree No. 005-2021-MINCETUR, Regulations on Lodging Establishments, when traveling with minors, the following documents must be presented at the hotel’s front desk to be granted access:

For Residents:

When the minor is accompanied by one or both parents:
● Minor’s National ID (DNI) or a certified copy of the birth certificate
● National ID (DNI) of the accompanying parent, or both parents if both are present at check-in

When the minor is accompanied by a legal guardian:
● Public deed or legal document appointing the guardian
● Guardian’s National ID (DNI)
● Minor’s National ID (DNI) or a certified copy of the birth certificate

When the minor is accompanied by a designated responsible adult:
● Notarized authorization
● Responsible adult’s National ID (DNI)
● Minor’s National ID (DNI) or a certified copy of the birth certificate

For Non-Residents:

Admission of minors in the company of one or both parents:
● Minor: Passport or official identity document
● Accompanying parent(s): Passport or official identity document of the accompanying parent or parents. If both parents are present, both documents must be presented.

Admission of minors in the company of a legal guardian:
● Minor: Passport or official identity document
● Legal guardian: Passport or official identity document proving the legal or judicial relationship between the guardian and the minor

Admission of minors in the company of a responsible adult:
● Minor: Passport or official identity document
● Accompanying responsible adult: Passport or official identity document of the responsible adult. Documentation proving an official, judicial, or legal relationship between them, or, in the absence of such, a notarized written authorization.

A “Guardian” is a person legally appointed to care for a minor who is not under the parental authority of their biological parents and their assets, in order to ensure their welfare until they can act independently.

A “Responsible Adult” is a person designated by a public or private instrument to act in the best interest of the minor for specific activities and a defined period of time.

Requirements for registering non-resident guests at lodging establishments by country of origin

1. CHILE

1.1. Admission of minors in the company of one or both parents must present: Passport (issued by the Civil Registry and Identification Service or by the Ministry of Foreign Affairs, as applicable) issued by the Civil Registry and Identification Service or by the Ministry of Foreign Affairs, as applicable). This applies to both the minor and the parents.

1.2. Admission of minors in the company of a legal guardian must present:

1.2.2001. Passport (issued by the Civil Registry and Identification Service or by the Ministry of Foreign Affairs, as applicable) issued by the Civil Registry and Identification Service or by the Ministry of Foreign Affairs, as applicable). This applies to both the minor and the legal guardian.

1.2.2002. Document certifying legal guardianship, such as a certificate, notarized authorization, or court ruling granting guardianship or conservatorship, issued by the Family Court with jurisdiction over the corresponding municipality or region. It is recommended that the document be apostilled.

1.3. Admission of minors in the company of a responsible adult, must present:

2.1. Admission of minors in the company of one or both parents must present: Passport (issued by the United States Department of State). This applies to both the minor and the parents.

2.2. Admission of minors in the company of a legal guardian, must present:

2.3.2002. Documentation demonstrating the official, judicial, or legal relationship as a responsible adult that exists between the accompanying person and the minor, or, alternatively, a written authorization with a notarized signature. 3. ECUADOR:

3.1. Admission of minors in the company of one or both parents must present: Passport (issued by the Ministry of Foreign Affairs and Human Mobility or the General Directorate of Civil Registry, Identification and Certification, as applicable) or a national ID card (issued by the General Directorate of Civil Registry, Identification and Certification). This applies to both the minor and the parents.

3.2. Admission of minors in the company of a legal guardian, must present:

Passport (issued by the Ministry of Foreign Affairs and Human Mobility or the General Directorate of Civil Registry, Identification and Certification, as applicable) or a national ID card (issued by the General Directorate of Civil Registry, Identification and Certification). This applies to both the minor and the legal guardian.

3.2.2002. Document certifying legal guardianship, such as a certificate, notarized authorization, or court ruling granting guardianship or conservatorship, issued by the Family Court with jurisdiction over the corresponding municipality or region. It is recommended that the document be apostilled.

3.3. Admission of minors in the company of a responsible adult, must present:

3.3.2001. Passport (issued by the Ministry of Foreign Affairs and Human Mobility or the General Directorate of Civil Registry, Identification and Certification, as applicable) or a national ID card (issued by the General Directorate of Civil Registry, Identification and Certification). This applies to both the minor and the responsible adult.

3.3.2002. Documentation demonstrating the official, judicial, or legal relationship of the responsible adult that exists between the accompanying person and the minor; or, alternatively, a written authorization with a notarized signature. It is recommended that the document be apostilled.

4. COLOMBIA:

4.1. Admission of minors in the company of one or both parents must present: Passport (issued by the Ministry of Foreign Affairs) or an identification card (C.I.) or citizen’s identification card (C.C.) (issued by the National Civil Registry). This applies to both the minor and the parents.

4.2. Admission of minors in the company of a legal guardian must present:

4.2.1. Passport (issued by the Ministry of Foreign Affairs) or an identification card (C.I.) or citizen’s identification card (C.C.) (issued by the National Civil Registry). This applies to both the minor and the legal guardian.

4.2.2. Documentation supporting the designation of the person as a legal guardian, issued by the Family Court of the Circuit. It is recommended that the document be apostilled.

4.3. Admission of minors in the company of a responsible adult must present:

4.3.1. Passport (issued by the Ministry of Foreign Affairs) or an identification card (C.I.) or citizen’s identification card (C.C.) (issued by the National Civil Registry). This applies to both the minor and the responsible adult.

4.3.2. Documentation demonstrating the official, judicial, or legal relationship as a responsible adult that exists between the accompanying person and the minor; or, alternatively, a written authorization with a notarized signature. It is recommended that the document be apostilled.

5. BRAZIL:

5.1. Admission of minors in the company of one or both parents must present: Passport (issued by the Federal Police or the Ministry of Foreign Affairs, as applicable) or Identity card (issued by the government of the federative unit) or national identity card (issued by the identification institutes of the states or the Federal District). This applies to both the minor and the parents.

5.2. Admission of minors in the company of a legal guardian must present:

5.2.1. Passport (issued by the Federal Police or the Ministry of Foreign Affairs, as applicable) or Identity card (issued by the government of the federative unit) or national identity card (issued by the identification institutes of the states or the Federal District). This applies to both the minor and the legal guardian.

5.2.2. Documentation proving that the accompanying adult holds the legal guardianship of the minor, issued by the corresponding Federal Regional Court through a judicial ruling. It is recommended that the document be apostilled and translated into Spanish.

5.3. Admission of minors in the company of a responsible adult must present:

5.3.1. Passport (issued by the Federal Police or the Ministry of Foreign Affairs, as applicable) or Identity card (issued by the government of the federative unit) or national identity card (issued by the identification institutes of the states or the Federal District). This applies to both the minor and the responsible adult.

5.3.2. Documentation demonstrating the official, judicial, or legal relationship as a responsible adult that exists between the accompanying person and the minor, or, alternatively, a written authorization with a notarized signature. It is recommended that the document be apostilled and translated into Spanish.

6. BOLIVIA:

6.1 Admission of minors in the company of one or both parents must present: Passport (issued by the General Directorate of Migration or the Ministry of Foreign Affairs, as applicable) or national ID card (issued by the General Personal Identification Service). This applies to both the minor and the parents.

6.2. Admission of minors in the company of a legal guardian, must present:

6.2.1. Passport (issued by the General Directorate of Migration or the Ministry of Foreign Affairs, as applicable) or national ID card (issued by the General Personal Identification Service). This applies to both the minor and the legal guardian.

6.2.2. Notarized copy of the guardianship grant issued by the judge, provided by the Family Courts and Chambers with territorial jurisdiction. It is recommended that the document be apostilled.

6.3. Admission of minors in the company of responsible adult must present:

6.3.1. Passport (issued by the General Directorate of Migration or the Ministry of Foreign Affairs, as applicable) or national ID card (issued by the General Personal Identification Service). This applies to both the minor and the responsible adult.

6.3.2. Documentation demonstrating the official, judicial, or legal relationship as a responsible adult that exists between the accompanying person and the minor; or, alternatively, a written authorization with a notarized signature. It is recommended that the document be apostilled.

7. ARGENTINA:

7.1 Admission of minors in the company of one or both parents must present: Passport (issued by the National Registry of Persons or the Ministry of Foreign Affairs, International Trade and Worship, as applicable) or National Identity Document (issued by the National Registry of Persons). This applies to both the minor and the parents.

7.2. Admission of minors in the company of a legal guardian must present:

7.2.1. Passport (issued by the National Registry of Persons or the Ministry of Foreign Affairs, International Trade and Worship, as applicable) or National Identity Document (issued by the National Registry of Persons). This applies to both the minor and the legal guardian.
